As a Project Coordinator / Admin at Extrosync Vancouver, you will provide critical support to consultants, project managers, and client teams by ensuring smooth day-to-day operations. From scheduling and documentation to logistics and reporting, you’ll help keep our engagements organized, efficient, and on track. Responsibilities

  • Coordinate meetings, timelines, and deliverables across internal and client teams

  • Prepare, format, and proofread reports, presentations, and project documents

  • Maintain project trackers, calendars, and file management systems

  • Take meeting minutes and follow up on action items

  • Support proposal submissions, onboarding logistics, and communication flow

  • Assist consultants with research, light data entry, or administrative tasks as needed

Requirements

  • 2–4 years of experience in project coordination, executive support, or professional administration

  • Strong organizational skills and attention to detail

  • Excellent written and verbal communication

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and basic project tools (e.g., Smartsheet, Google Workspace, or Notion)

  • Ability to manage multiple priorities while staying calm and solution-focused

  • Based in Metro Vancouver, with ability to occasionally attend in-person meetings if needed

Nice to Have

  • Experience working in consulting, engineering, or operations-based firms

  • Familiarity with project lifecycles, timelines, and team structures

  • Comfort supporting hybrid teams and remote collaboration

  • Basic graphic formatting or editing skills.
